Volunteer sign up and liability waiver, 2026 Veterans’ Day Parade

The parade is Saturday, November 7, 2026 in Waynesville, and volunteers make the line up work by waving vehicles into rows, doubling up the lines, running radios, and keeping the stage on schedule. On parade day every volunteer signs in at the stage before starting, and the form below is the sign up sheet and the liability waiver in one, which you sign at the bottom.

Section 1. Volunteer information

Just type the numbers, month, day, then year, for example 05141975, and the slashes go in on their own. Volunteers under 18 need a parent or guardian to sign below.

We use text messages for same day changes.

This is optional, and examples include the NCO Academy, a church, a club, a school, or the Chamber Ambassadors.

This is optional but recommended, and it is seen only by the parade coordinator and the medical team.

Shift and time commitment (required)

Check every shift you can work, and remember that volunteers meet the day before the parade for a short briefing.

Pick your volunteer job

Every station is explained on the volunteer jobs page. Pick the job you want to do, and that job is yours: it is confirmed the moment you sign up, and nobody moves you to a different one.

A full job cannot be chosen, and the numbers update as people sign up.

Poppy Project helpers often work parade day as well, so claim both here rather than filling the form out twice. The second job is yours too.

This is the document for the 2026 Veterans’ Day Ceremony and Parade, so please read every section, because you sign it below and a copy prints from your confirmation.

Section 2. Acknowledgment of Risk

I understand that volunteering at the 2026 Veterans' Day Ceremony and Parade on Saturday, November 7, 2026 may involve risks including, but not limited to, exposure to traffic, weather, crowds, moving vehicles and floats, uneven surfaces, and physical exertion. I voluntarily assume all such risks, known and unknown, associated with my participation as a volunteer.

Section 3. Release, Waiver, and Indemnification

In consideration of being permitted to volunteer, I, on behalf of myself, my heirs, executors, administrators, and assigns, hereby release, waive, discharge, and covenant not to sue the City of Waynesville, Missouri, its elected officials, officers, employees, agents, and volunteers, together with the City of St. Robert, Missouri and the Waynesville-St. Robert Area Chamber of Commerce, their elected officials, officers, directors, employees, agents, and volunteers (collectively, the "Releasees"), from any and all liability, claims, demands, actions, or causes of action arising out of or related to any loss, damage, or injury, including death, that may occur to me or my property as a result of my participation in this event, WHETHER OR NOT CAUSED BY THE NEGLIGENCE OF THE RELEASEES, to the fullest extent permitted under Missouri law.

I further agree to indemnify and hold harmless the Releasees from any and all claims, liabilities, losses, damages, costs, or expenses (including reasonable attorney's fees) arising out of my acts or omissions while volunteering, except to the extent caused by the gross negligence or willful misconduct of the Releasees.

This waiver does not apply to claims arising from the gross negligence, recklessness, or intentional misconduct of the Releasees, as such limitations may not be waived under Missouri law.

Section 4. Multiple Sponsoring Organizations

I acknowledge that this event is jointly organized and supported by the City of Waynesville, Missouri, the City of St. Robert, Missouri, and the Waynesville-St. Robert Area Chamber of Commerce. This Release extends to and protects each named organization to the same extent as the host city, provided each organization has also agreed to reciprocal indemnification for its own volunteers and activities under a separate event cooperation agreement.

Section 5. No Employment Relationship

I understand that I am serving strictly as an unpaid volunteer, that this is not an employment relationship, and that I am not entitled to wages, workers' compensation benefits, or any other employee benefit as a result of my service.

Section 6. Medical Treatment Authorization

In the event of injury or illness during the event, I authorize event medical staff or emergency responders to provide first aid or arrange for emergency medical treatment on my behalf. I understand I am responsible for any costs of medical treatment, as the organizers do not provide medical or accident insurance for volunteers.

Section 7. Photo and Media Release

I grant the City of Waynesville, Missouri, the City of St. Robert, Missouri, and the Waynesville-St. Robert Area Chamber of Commerce permission to photograph, video, or record me during this event and to use such images or recordings for promotional, educational, or archival purposes without compensation.

Section 8. Minor Volunteers (under 18)

If the volunteer is under 18, a parent or legal guardian must complete the parent or guardian section. As parent or legal guardian, I have read this entire agreement, understand its terms, and consent to my child's participation and to all releases, waivers, and authorizations above on their behalf.

Section 9. Acknowledgment and Signature

I have read this document in its entirety, understand that I am giving up substantial legal rights by signing it, and sign it freely and voluntarily without any inducement.
